Link existing records with Auto-Match
Auto-Match finds companies and contacts that already exist on both platforms and proposes links between them, so your first sync does not create duplicates.
Run Auto-Match any time both platforms already contain records for the same companies or contacts, ideally before your first sync. If one platform is empty, Auto-Match is optional, since there is nothing yet on that side to link.
Steps
- Open the Auto-Match tab.
- Choose an Entity type: Company or Contact.
- Choose a Source platform and a Target platform. The source and target must be different platforms.
- Run a match. HubConnector scores every candidate pair and sorts the results into proposals, described below.
- Review the proposals using the status filter tabs: All, Pending, Accepted, or Rejected.
- Select proposals and choose Accept Selected or Reject Selected.
- Choose "Apply {"{"}N{"}"} Accepted Matches" to create the links. Only applied matches create links between your platforms.
We recommend running companies first, then contacts, as a sensible default order. This is not a hard rule: contacts do not require their companies to be linked first.
How matches are scored
Auto-Match compares name, a secondary field, and phone, and weights them differently by entity type:

Name similarity uses fuzzy comparison, so close variations in spelling or punctuation still score well. Domain, email, and phone must match exactly after normalization, and phone comparison uses the last 9 digits of the number.
Confidence bands
- High: a score of 0.85 or above.
- Medium: a score of 0.60 or above.
- Low: a score at or above the match threshold of 0.40.
Every proposal also has a status: Pending, Accepted, Rejected, or Applied.
Match settings
The same Auto-Match page lets you adjust the thresholds and weights behind a run. Defaults suit most teams, so adjust these only if Auto-Match consistently proposes matches that are too aggressive or too conservative for your data.
- Match Threshold, High Confidence, Medium Confidence: the score cutoffs described above.
- Suppression Threshold: if a pair's name similarity score falls below this threshold, HubConnector discards the pair entirely, even when the domain, email, or phone match. This stops HubConnector from proposing a link between two clearly different companies or contacts that happen to share a domain, email domain, or phone number.
- Exact-Match Floor: when the domain or email matches exactly, HubConnector raises that pair's overall score to at least this value, regardless of how the names compare. This keeps a confirmed domain or email match from being pulled down by an imperfect company or contact name.
- Shared Value Threshold: a whole number of 2 or more. A domain or email address held by more records than this threshold, on one side of the run, is treated as absent for every record that holds it, for that run only. This stops a widely shared value, such as a company domain used by many unrelated contacts, from producing a flood of matches based on that value alone.
- Name Weight, Domain Weight or Email Weight, Phone Weight: the per-field weights described above.
Scheduled re-matching
Turn on "Enable scheduled re-matching" to have HubConnector run Auto-Match automatically, every week on Sundays at 3:00 AM UTC. A scheduled run creates proposals for review the same way a manual run does, so you still review and apply them yourself. The run history shows the status of past runs: Running, Completed, Failed, or Skipped.
